Every month, prior to the Main Program, the Boston Chapter of ASHRAE’s Board of Governors meet to discuss Chapter business. This article, based on the Secretary Meeting Minutes, shall serve as an informative summary for members as to what is happening behind the scenes of the Boston Chapter.

Meeting started at 4:13 PM

General Business

  • ·         December meeting minutes were approved.
  • ·         The response rate for the Chapter meeting surveys is approximately 20%
  • o   September meeting received overall rating of 84%
  • o   October main meeting received overall rating of 87%
  • o   October technical session received overall rating of 78%
  • ·         Chapter is looking into automatically generating invoices to members with outstanding registration fees. This is currently a manual process.
  • ·         Outstanding meeting registration fee invoices to be issued to members
  • ·         75-80% of meeting registrants actually attend meetings.
  • ·         Chapter discussed issue regarding registrants electing to pay with cash or check at the door and then not showing. Chapter is working on a solution to eliminate incurring the food cost.
  • ·         Chapter finances were discussed.
  • ·         The application for this year’s Hall of Fame inductee is complete and will be reviewed by the Board of Governors in the near future.
  • ·         There will be a social gathering to meet the ASHRAE Boston Chapter Officers, Board of Governors and Committee Chairs at Kinsale on February 9th from 5:30-8:30 PM.
  • ·         This year’s brewery tour will be held at Night Shift Brewery on April 20th from 5:30-8:30 PM.
  • ·         Students applying for the ASHRAE Student Scholarship are reminded to submit their applications as soon as possible.
  • ·         The Chapter will look to modify the online meeting registration to include a PDH sign-up feature for applicable meetings in addition to the PDH sign-in sheets.

January Meeting

  • ·         An announcement was made prior to the main meeting to remind members of the discounted lift tickets at Sunday River and Sugar Loaf.
  • ·         Main meeting and technical session were each approved for 1.0 PDH.
  • ·         Notes were added to the PDH sign-in sheets to remind members to sign up only if they need the PDH and to print information legibly.

February Meeting

  • ·         Joint meeting with I2SL at Metro Meeting Center.
  • ·         ABC to host registration for I2SL with a different URL (duplicate webpage).
  • ·         Siemens to sponsor event.

December Meeting Date: December 13, 2016

Meeting started at 4:27 PM

General Business

  • ·         November meeting minutes were approved.
  • ·         Research Promotion has currently reached 13% of it’s annual funding goal.
  • ·         A motion was approved for the Chapter to donate funds to reach 30% of the annual goal.
  • ·         Downtown Boston venues are being explored as potential event locations for informal social gathering for Officers, BOG and Committee Chairs sometime in February.
  • ·         Chapter finances were discussed.
  • ·         Articles for the January Newsletter shall be submitted to the Newsletter editor by Friday, December 16th.
  • ·         A list of potential breweries is being developed to host the April Brewery Tour.
  • ·         The Chapter discussed the status of the Chapter PAOE points along with strategies to increase the point total. Meetings with government officials or historians were noted as potential leads.
  • ·         Corporate Sponsor Appreciation night will be held sometime in April at Post 390 restaurant.
  • ·         New YEA Committee Chair candidates were discussed for next year.

December Meeting

  • Joint meeting with ASPE
  • Will Tang to announce annual ASHRAE discount to Sunday River and Sugar Loaf

January Meeting

  • ·         Presentation materials for both the Main Meeting and Technical session shall be submitted to Society to seek PDH approval.

November Meeting Date: November 8, 2016

Meeting started at 4:25 PM

General Business

  • ·         October BOG meeting minutes were approved
  • ·         ASHRAE Boston Chapter (ABC) to make donation to RP in D. Diorio’s name
  • ·         Will Tang motioned for Chapter to contribute towards the Boston Endowment Fund. Motion was seconded and approved by all
  • ·         Will Tang noted DAC Sales (Rick McGinley) donated to RP
  • ·         Chapter to no longer pursue Chapter Opportunity Fund
  • ·         Mike Gilroy noted draft application for 2016-2017 Hall of Fame near completion. Draft to be proofread then distributed amongst BOG for review and comment. Hall of Fame inductee announcement to be made at future meeting.
  • ·         Committee chair article deliverables were discussed
  • ·         Phil Hammond from WIT attended BOG meeting seeking assistance from the Chapter to help promote WIT’s graduate continuing education courses focused on design/construction.
  • o   Courses seem to target construction industry more so than design/engineering industry
  • o   Mr. Hammond interested in promoting WIT continuing education in ASHRAE newsletter, if possible
  • o   Yuka Narisako suggested Phil speak at the April meeting which promotes student activities as these meetings are well attended by students
  • ·         It was noted that an HVAC 101-type course would be attractive and beneficial to the HVAC industry. A reference was made to the HVAC course previously offered by Northeastern as a good example.
  • ·         PAOE point update was provided
  • ·         A proposal was made to hold a brewery tour at Nightshift on a Thursday in April 2017 for the Boston ASHRAE Chapter
  • ·         Joe Dussault emailed members seeking new YEA committee chair for next year; noted Leadership Weekend as good opportunity for future chair.
  • ·         Next YEA event at Lahey Hospital on 11/16/16. An email was sent to members and an announcement was made at the November meeting

November Meeting

  • ·         Will Tang inducted Steve Rosen to Hall of Fame
  • ·         Will Tang introduced WSP Project Engineers and gave overview the evening’s flow
  • ·         Night consisted of 5 tours starting at 6:30 PM, approximately 30 min. each, tours staggered by 15 min., 3 representatives from RECCO Refrigeration Equipment Company and CIMCO to be present to field questions from audience.
  • ·         Expected attendance was discussed
  • ·         Meeting registration fees were discussed and outstanding invoices were noted
  • ·         Current Chapter account balances were discussed
  • ·         November meeting costs were discussed
  • ·         Yuka Narisako made an announcement at November meeting to promote YEA
  • ·         The next Women in AsHRAE event date was announced at November meeting (12/8/16); event location TBD

December Meeting

  • ·         December meeting is a joint meeting hosted by ASPE in Randolph, MA
  • ·         Boston ASHRAE Chapter to promote meeting
  • ·         Transportation was noted as  challenge; chapter to review carpool options

October Meeting Date: October 18, 2016

Meeting started at 4:30 PM

General Business

  • ·         September BOG meeting minutes were approved
  • ·         Boston Chapter currently has 1097 active members
  • ·         Boston Chapter is aiming to surpass last year’s golf tournament fund raising total to benefit the Chapter. The Chapter is exploring ways to reduce tournament costs.
  • ·         Additional details for the joint December meeting with ASPE will be available soon
  • ·         Chapter Opportunity Fund PAOE points to be tracked under Chapter Operations
  • ·         Corporate Gold Sponsors to receive free meeting registration
  • ·         The next YEA event to be held on November 16th  at a Boston-area hospital with hopes to invite students from Chelmsford High School (more information to follow)
  • ·         The  next Women in ASHRAE event to be held on November 17th at a TBD location (more information to follow)

October Meeting

  • ·         October technical and main presentations were each approved for 1.0 PDH
  • ·         October meeting to recognize Past Presidents and Chapter History
  • ·         Chapter Historian to give short speech on Chapter History prior to main presentation
  • ·         Corporate Sponsorship sign to be displayed at registration table
  • ·         Social hour sponsorship sign to be displayed at beverage table
  • ·         Certificates of Appreciate to be presented to company recipients during the meeting announcements
  • ·         Current Chapter account balances were discussed
  • ·         October meeting costs were discussed

November Meeting

  • ·         November BOG meeting to be held at BR+A office prior to tour of Warrior Ice Arena
  • ·         November meeting costs were discussed
  • ·         Chapter anticipating approximately 120 attendees at the November meeting requiring multiple tour groups. In spite of the additional cost, the BOG deemed a technical tour more suiting over a general building tour. The design engineer from WSP will be present to speak to attendees. The Chapter also hopes to have the chiller plant manufacturer’s representative present to speak to attendees as well.
  • ·         The Chapter will induct the 2015-2016 Boston ASHRAE Chapter Hall of Fame recipient at the November meeting
  • ·         Parking will be free for the November meeting and advertised on the Chapter website

Meeting Date: September 21, 2016

The Chapter Board of Governors met prior to the September Chapter meeting for approximately one (1) hour. The Board approved the meeting minutes from the June planning meeting.

The Chapter discussed a couple operational changes:

  • ·         The historical storage site has been moved from a local storage facility to BR+A’s office to save on overhead expenses.
  • ·         Officers, BOGs and Committee Chairs were encouraged to utilize ASHRAE email aliases for a more uniform method of communication to the members and other participants.
  • ·         It was noted that membership numbers have decreased slightly in comparison to the start of last year.
  • ·         This month’s meeting was slated as Research Promotion night and Membership Promotion night. The main presentation was also approved for 1.0 PDH.
  • ·         The current Chapter finances were reported to the BOG.
  • ·         The October meeting site has been confirmed and will be held at TRO’s office at 100 High Street, Boston, MA.
  • ·         The BOG and Committee Chairs were requested to provide ideas as to how the Chapter can best utilize the Chapter Opportunity Fund budget.
  • ·         The new Women in ASHRAE Committee recently held their first event which was deemed a success. A motion was approved to provide the Committee with an annual budget to host periodic events similar to YEA.
  • ·         The Chapter will recognize select employers at the October meeting for their notable attendance at last year’s events.
  • ·         Other accomplishments include last year’s Hall of Fame inductee, Steve Rosen, who will be officially inducted at the upcoming November Meeting.
  • ·         The Chapter will look to continue raising money for Research Promotion this year. A notification will soon be distributed to members to help support this cause.
  • ·         The Chapter continues to improve the operations by utilizing the Basecamp tool as an organizational platform for Officers and Committee Chairs to complete necessary tasks. This tool will also be used at the Society and Regional levels moving forward.

Review of March Meeting Minutes

Each Board of Governors meeting begins with a review and eventual vote to approve the previous month’s meeting

minutes. Any items that required follow-up are updated and closed or are determined to be carried forward once again.

The meeting minutes were approved for March 2016.

2015/2016 Schedule

Discussed how well the April Product & Energy Show was along with its financial report.

Discussion of our upcoming Golf Outing at the Halifax Country Club and how all foursomes sold out. Discussed who will be volunteering to help out at Halifax Country Club and that the current chair Bill Garvey will be stepping down after many years chairing the committee. Jim Liston will be head of the golf committee come June 1 with Erin Popa, Mike Gilroy and Andrew Krenning.

Discussed that Steve Rosen, Hall of Fame inductee, would be announced during the installation of offi cers’ event.

Discussed the Research Promotion (RP) chair Dan Diorio meeting his goal of $22,800.00 this year.

Discussed the Roster & Product Guide status, Product guide has been uploaded on chapter website.

Additional Miscellaneous Items Discussed

The following topics were briefl y discussed:

Treasurer’s Update – Reviewed the Treasurer’s report and fi nancial standing for Main checking, Scholarship Checking and CD Account along with expenses and incomes.

Committee Chair Responsibilities – Chapter President, Stacie Suh, suggested that all Committee Chairs stay on top of their Presidential Award of Excellence points, all points are due in mid-July.

Membership Update – Membership numbers are at 1147 members strong, but we need to be on top of our members that

are delinquent with their membership.

YEA Update – YEA has a Thursday tour event coming up and 25 people have signed up, this tour will require you to bring those hard hats and safety gear.

A meeting was held on June 16, 2015 to discuss the 2015-2016 Plan.

Attendees included Stacie Suh, Teri Shannon via conference call, Dan Diorio, Erin Popa, William Tang, Mark Leonard, Christine Reinders, Daniel Carington, Jim Liston, Justin Mole, Mike Gilroy, Andrew Krenning, Steve Tafone, Lance Brown and Joseph Dussault.

Topics discussed include: the Boston Chapter Member Survey; POAE points for 2014-2015; research promotion; 2015 Boston Chapter Hall of Fame; speakers for the October meeting; Boston Chapter website redesign; the postponement of the 2015 Golf Outing.

New business included: the introduction of 2015-2016 committee chairs, BOG and officers; YEA weekend; the Chapter Regional Conference (CRC); Product Show/Golf registration options; society membership; society dues; Product Show 2016; committee chair for roster and product guide; roster and product guide database option on the website; financial review; Energy 2030: on the Road Campaign; membership promotional centralized training; updating bios and pictures.

The 2015-2016 Chapter Meeting Schedule discussion involved: review of draft schedule and open dates; potential for meeting in Boston; DL speakers; meeting sponsorships; chapter dues; September tour update; special night designations; potential brewery tour.

Review of March Meeting Minutes

Each Board of Governors meeting begins with a review and eventual vote to approve the previous month’s meeting minutes.  Any items that required follow-up are updated and closed or are determined to be carried forward once again.  Meeting minutes from March were approved at the April BOG meeting.

2014/2015 Schedule

April‘s energy code training session was held at National Grid in Waltham, MA and drew 47 attendees.  ASHRAE Boston will look into similar events in the future due to the impressive turnout.  Night Shift Brewery, located in Everett, MA, previously approved by the BOG for an ASHRAE Tour has been postponed until May 19th.  Be on the lookout for additional information and registration details!  The Instillation of Officers (May Meeting) will take place on Tuesday May 12th, at the Bostonia Public House. 

Additional Miscellaneous Items Discussed

The following miscellaneous items were briefly discussed:

  • Boston Chapter Member Survey – The much anticipated survey has been reviewed with BOG and Chapter Officers.  The group is now deciding how best to incorporate the survey results into the operation of the Chapter.
  • Boston Chapter Hall of Fame – Applications for the ASHRAE Boston Chapter Hall of Fame have been made available.  The deadline, originally March 6th, has been extended for applications/nominations. The turnout for applications has been low.  Please consider submitting an application for someone who has contributed to the ASHRAE Boston Chapter over the years.
  • Boston Chapter Scholarships – Applications for ASHRAE scholarships have been made available online. Please visit the ASHRAE Boston website for additional information.
  • Chapter Committee and Officer Positions – Positions for next year’s ASHRAE “season” need to be confirmed shortly.  If you or anyone you know may be interested in participating, please email Stacie Suh at stacie@stebbinsduffy.com.

Meeting minutes from February were approved at the February BOG meeting.

2014/2015 Schedule

April‘s energy code training session, held at National Grid in Waltham, MA will take place as scheduled. As a result, no technical session will be offered in April. The training session will highlight mechanical sections of the code and take place from 2pm to 5pm on the night of the April meeting.   • Boston Chapter Hall of Fame – Applications for the Boston ASHRAE Chapter Hall of Fame have been made available. The deadline, originally March 6th, has been extended for applications/nominations.
  • April ASHRAE Webcast – Every April, ASHRAE provides a free webcast with accompanying PDHs to its members. This year’s webcast is titled “New Tomorrow for Today’s Buildings: Existing Building Commissioning.” More information will be circulated when it is available.

Review of January Meeting Minutes
Each Board of Governors meeting begins with a review and eventual vote to approve the previous month’s meeting minutes. Any items that required follow-up are updated and closed or are determined to be carried forward once again. Meeting minutes from January were approved at the February BOG meeting.

2014/2015 Schedule

Openings in the schedule and opportunities to improve the year’s schedule were discussed. Previous openings in the March and April tech sessions have been resolved. Approval from our joint meeting partners, AEE in March will allow a heat pipe technical session. In April, an energy code training session held at National Grid in Waltham, MA will take the place of a technical session. The training session will highlight mechanical sections of the code and take place from 2pm-5pm on the night of the April meeting. Plans are in the works for an April brewery tour at a local brewery.

Additional Miscellaneous Items Discussed

The following miscellaneous items were briefly discussed:

  • Meeting Registration Software –Erin Popa confirmed Vertical Response has made Attendance Chair’s duties more manageable and, despite working through some kinks, the software should be continued to be used by the chapter.
  • Boston Chapter Member Survey – A survey has been created and has entered the final review process. The survey will be sent to all Chapter members by the end of the month.
  • Local Brewery Tour –A recent development has occurred with Night Shift Brewery in Everett, MA. We’re hoping we can finalize the details in time for an April tour and networking night.
  • Nick Johnson Benefit Raffle - The raffle to support Nick Johnson and help offset some of his medical costs has been extended until March. See other sections of this newsletter for more information on the raffle and how to purchase tickets.
  • Boston Chapter Hall of Fame – Applications for the Boston ASHRAE Chapter Hall of Fame have been made available. March 6th is the deadline for applications/nominations.

The Chapter was delighted to host ASHRAE Society President Thomas Phoenix at the January meeting and invited him to the BOG meeting to provide insight and advice.

Review of December and November Meeting Minutes
Each Board of Governors meeting begins with a review and eventual vote to approve the previous month’s meeting minutes. Any items that required follow up are updated and closed or are determined to be carried forward once again. Meeting minutes from both November and December were approved at the January BOG meeting.

2014/2015 Schedule
Openings in the schedule and opportunities to improve the year’s schedule were discussed. Previous openings in March and April tech sessions have been tentatively resolved. A March technical session will cover heat pipe technologies and applications. In April, an energy code training session held at National Grid in Waltham, MA will take the place of a technical session. The training session will highlight mechanical sections of the code and take place from 2pm-5pm on the afternoon of the April meeting.

Additional Miscellaneous Items Discussed

The following miscellaneous items were briefly discussed:

  • Meeting Registration Software –Erin Popa utilized the Vertical Response software for attendance and meeting registration at January’s meeting. The evaluation period of the software will continue through February.
  • Storage of Historical items – The Chapter will obtain a climate controlled storage unit for the storage of historical items. The location of the storage unit will be in a facility in Brighton, MA, less than a mile from BR+A’s new office and former office.
  • Boston Chapter Member Survey – A survey of 5-10 questions is being created by officers to garner feedback from chapter members on Chapter operations, meeting topics and ways to improve.
  • Local Brewery Tour – Last year’s Harpoon Brewery tour was deemed a success. However, the price to reserve a tour at Harpoon has increased substantially from last year’s reservation cost. Due to the increase, other local breweries will be contacted for potential tours.

Review of November Meeting Minutes

Each Board of Governors meeting begins with a review and eventual vote to approve the previous month’s meeting minutes. Any items that required follow up are updated and closed or are determined to be carried forward once again.

Due to the light attendance at the December meeting, it was decided that November meeting minutes would be approved at January’s BOG meeting.

2014/2015 Schedule

Openings in the schedule and opportunities to improve the year’s schedule were discussed. March and April technical sessions are still open. The Chapter is investigating replacements for both technical sessions.

Additional Miscellaneous Items Discussed

The following miscellaneous items were briefly discussed:

  • Chapter Treasurer- The position of Treasurer for ASHRAE Boston Chapter was discussed. It has proven difficult to transition to a new treasurer each year. A 2 or 3 year treasurer term was proposed and will be discussed in further detail at January’s meeting.
  • Meeting Registration Software – We are continually exploring options to improve the registration process for our monthly meetings, both for our members and our Attendance chairs. Erin Popa will utilize Vertical Response software for attendance and meeting registration for January’s meeting.
  • Membership Promotion Committee updates – The Chapter is happy to announce that Mark Persechini will be joining the Membership Promotion Committee. The Membership Promotion Committee is chaired by Dan Carington.
  • Storage of Historical items – The Chapter is still in search of a viable location to store local chapter historical items. BR+A is moving in early 2015 and will not have the additional storage space to accommodate the Historical Library. Information on potential storage space should be shared with Eric Edman, eme@brplusa.com

Review of October Meeting Minutes

Each Board of Governors meeting begins with a review and eventual vote to approve the previous month’s meeting minutes. Any items that required follow-up are updated and closed or are determined to be carried forward once again.
One remaining item from October’s meeting minutes is a new location required for the Chapter’s historical items. A new location has not yet been determined and any ideas should be passed to an ASHRAE Boston Chapter Officer. Other pertinent items from the October Planning Meeting minutes were reviewed and the meeting minutes were approved.

2014/2015 Schedule

Openings in the schedule and opportunities to improve the year’s schedule were discussed. A Massachusetts Building Code training program is being considered for inclusion in this year’s schedule. Another Harpoon Brewery tour is being planned for April.

Additional Miscellaneous Items Discussed

The following miscellaneous items were briefly discussed:

2014/2015 Budget- The budget for the 2014/2015 ASHRAE Boston Chapter was briefly presented but attendees requested formatting changes prior to final approval. The vote on the budget was delayed until December.

Sponsorship Program - Bob Persechini outlined a new sponsorship program aimed at recognizing companies committed to the ASHRAE Boston Chapter. Sponsors, at varying levels, will receive sponsorship packages throughout ASHRAE Boston events and in turn benefit Chapter Operations. More detailed information to come in the following months.

Meeting Registration Software - We are continually exploring options to improve the registration process for our monthly meetings, both for our members and our Attendance chairs. Dan Carrington and Bob Persechini have investigated various registration software that are anticipated to make registration simpler. Dan and Bob recommended EventBrite software to the Chapter. However, Teri Shannon noted our current software, Vertical Response, can be upgraded to provide similar services at a lower cost. The chapter agreed to pursue Vertical Response due to the lower cost and familiarity.

Meeting Date: April 2014

The meeting was called to order at approximately 5:00 PM by Teri Shannon

The BOG was updated on Monthly Meeting Schedule:

  • The ASHRAE Webcast on “Building in Balance: IEQ & Energy Efficiency” will be on Thursday, April 17th, from 1:00 PM to 4:00 PM at the office of BR+A. Meeting notice was sent, and the BOG determined to provide light snacks at the webcast.
  • The Harpoon Brewery Refrigeration Tour will be on Thursday, April 24th, from 7:00 PM to 9:00 PM. The BOG agreed to limit the attendance to 60, and charge $30/member & $40/non-member to offset the cost of the event.
  • Install of Officers will be on Thursday, May 13th at Papa Razzi, Wellesley. Allan Ames agreed to conduct the installation.

The BOG also discussed available positions within the Chapter for 2014 – 2015:

  • Michael Gilroy will be the Secretary
  • Erin Popa will be the Attendance Chair
  • Siobhan Carr to co-chair with Jim Liston on the Sustainability Committee
  • Dan Denisi vacated the Membership Promotion position due to personal reasons, Dan Carrington to chair the position immediately

The BOG was updated on Monthly Meeting Schedule:

  • The ASHRAE Webcast on “Building in Balance: IEQ & Energy Efficiency” will be on Thursday, April 17th, 1 PM to 4 PM at the office of BR+A. Teri will sent notice to chapter members
  • The Harpoon Brewery Refrigeration Tour will be on Thursday, April 24th, from 7 PM to 9 PM. The BOG agreed to charge $30/person to offset the cost of the event
  • The 2014 New Product & Energy Show will be on Tuesday, April 8th at the Lantana. Jeff Schultz informed the BOG that there are opportunities still to purchase booths at the Product show.

Stacie Suh informed the BOG that the 2014 Product Guide will be available at the Product Show.

The BOG voted to purchase a new banner for the chapter. Banner background artwork to be determined.

The BOG narrowed down candidates for event registration. The BOG will further examine which software will be better suited for the Chapter’s needs.

The BOG also discussed available positions within the Chapter for 2014 – 2015:

  • Erin Popa will be the Attendance Chair
  • Steve Nicholas will reach out for a candidate to fill the Sustainability Chair position
  • Teri Shannon to seek candidates to fill (2) BOG positions
  • Teri Shannon nominated Mike Gilroy to be the next Chapter Secretary. All of the BOG agreed

Siobhan Carr informed the BOG of potential community service projects with Father Bill’s. She will reach out to the past society president, Tom Watson, for assistance with chapter community service.

Student Activity Chair, Dan Diorio, will take student members to tour the Waterworks Museum in Chestnut Hill on March 27th, 3 PM.

Student Activities – Dan Diorio informed the BOG the SA will hold a tour at the Chestnut Hill Reservoir.

YEA – William Tang informed the BOG that YEA for FBMS donation drive received tremendous support from members.  An estimated $1400 worth of goods and cash were collected.

Meeting Schedule Update – The January meeting will be held on Tuesday, January 14th. PDH is available for Main Session.

Technical Tours - CTTC will hold a technical tour at Harpoon Brewery in conjunction with YEA in April. Date TBD.

New Chapter Banner – Jim Armstrong will assist Bill Garvey with purchasing the new chapter banner.

50/50 Raffle - BOG voted to proceed fund raising with a 50/50 raffle to benefit Research Promotion.

Registration Software – BOG has formed a registration software research committee. Bob Persechini, Stacie Suh, and Dan Carrington volunteered as committee members.  

Transportation Committee – Dan Carrington volunteered to run the Transportation Committee.  The main objective of this committee is to help members without a car to find ways to attend meetings.

Committee Updates

Research Promotion chair Steve Nicholas explained the benefits of research promotion, a vital source to publish ASHRAE standards.

Student Activity chair Dan Diorio will set up a meeting with the scholarship recipient and will inform the BOG once the date has been confirmed.

YEA chair William Tang informed the BOG that YEA attended a technical tour at the BROAD Institute on December 11th.  A holiday gathering took place afterwards.  William Tang also informed the BOG that YEA has received tremendous response from members to support FBMS.

The New Product & Energy Show – February will be the deadline to update the Product Roster which will be published prior to the show in April.  The show will include a Smoke Control seminar.

The scholarship application will be available on the ASHRAE Boston website.  Disbursements will be made at the beginning of the second semester.  Teri Shannon will post the scholarship application on LinkedIn to reach a wider audience.

BOG has been informed that emails for meetings have gone into junk mail or have been disregarded due to the email not being sent from a personal email account.  Teri Shannon will change the email format.

ASHRAE President – William Bahnfleth, PhD, attended the Boston Chapter November BOG meeting, his first local chapter visit. He thanked the Boston Chapter BOG for volunteering their time and effort to make the Boston Chapter successful. He also explained the purpose of his visit is to promote membership and chapter support from society through strategic planning.

Meeting Schedule Update - December meeting to be joint meeting with ASPE on Tuesday, December 10. March meeting date has been changed to Thursday, March 12 due to hotel booking conflict.

New Chapter Banner - Bill Garvey will continue to pursue replacing the chapter banner.

Supplemental Fundraising - The BOG has approved the implementation of supplemental fundraising measure at the monthly meetings. Teri Shannon to create a list of potential methods to be voted on.

Publicity Chair – Brian Marman had to resign as the Boston Chapter Publicity Chair, Mark Leonard was appointed in his place.

BOG Position – Brian Marman had to resign from his BOG position; Siobhan Carr was nominated & elected by the Boston Chapter BOG.

Carpool to Meetings - Teri Shannon to start a transportation committee to coordinate potential carpools to the monthly meetings.

Technical Sessions - The BOG voted not to have the technical session on a monthly basis. The Boston Chapter will hold technical sessions to compliment the main meeting subject and will pursue PDH credits through ASHRAE.

Meeting Reservation – Jim Liston to explore available meeting reservation services to streamline meetings reservation process. Future meeting reservations to be complete online.

Committee Reports:
Dan Diorio compiled a list of committees to generate interest and encourage participation. Response has been positive.

Student Activities introduced a new ASHRAE student chapter – Benjamin Franklin Institute.

YEA will collect donations for Father Bill’s & MainSpring - a non-profit organization that helps people who are homeless or at risk.

Region I DRC - Joe Furman, Region 1 Director, thank the Boston Chapter BOG for volunteering their time and effort that has gone into making the Boston Chapter successful. Joe explained the purpose of his visit is to check on chapter operation and meeting protocol, give and take ideas, and get an overall idea about how the chapter.

Meeting Topics - Teri Shannon reviewed the meeting topics for the remainder of the year and mentioned that all meeting topics/speakers are now confirmed.

Chapter Banner - Bill Garvey is still working to have the chapter banner replaced. 

Grassroots Committee
 – The Grassroots Committee has been formed and Steve Rosen is the Chair. Paul Hanbury and Bill Garvey will also assist on this committee. The committee has a 10/15 deadline to forward local government contacts to the RVC.

Technical Sessions – The technical sessions (October on CFD) will continue to compliment the main meeting topic. The November Tech Session topic is still TBD. It was noted that the Tech Session presentations should be reviewed ahead of time for proprietary content, etc.

Publicity Chair and BOG position opening – Brian Marman had to resign from the Boston Chapter Publicity Chair and vacate his BOG position. Mark Leonard (a chapter member has come forward to volunteer to the chair the committee. Given that the Boston Chapter exceeds the minimum number of BOG members, there is no immediate need to replace Brian.

Committee Reports - Dan Diorio intends to send an email to all Chapter members to promote participation in our existing committees. The email will briefly highlight each committee in an attempt to have some members come forward, perhaps filling some of the vacant committee openings.

Membership Promotion – Dan Carrington has volunteered to assist on the MP committee. A planning session is scheduled

  • Chapter Committee PAOE Updates (PAOE Min/Par/Current): Chapter Operation - Teri Shannon - 400/1000/445, Sustainability – Jim Armstrong (included above), CTTC - Mike Gilroy - 450/1050/200, GCAC - TBD - 500/600/0, History - Eric Edman - 100/300/50, Membership Promotion - Dan Denisi - 500/800/100, Research Promotion – Steve Nicholas – 800/1050/0, Student Activities – Dan Diorio – 300/500/0. Each committee chair shall enter their points monthly on the ASHRAE website and report current total, monthly, to Teri Shannon and submit with their monthly NorthEastAire articles.
    • Teri Shannon is interested in forming Grassroots Government Activities Committee (GGAC) within the Boston Chapter. The following are the major roles for the committee: keep tabs on legislative changes and status, keep contact with state and local government officials, be a liaison between government and chapter, a committee chair for GGAC must be assigned, Chapter Officers and BOG to reach out to chapter members for potential GGAC chairs and report interest at October BOG Meeting
  • Technical Sessions: The Boston Chapter will begin to collaborate with USGBCMA for planning and scheduling 1-hour technical sessions prior to our regular dinner meetings. The October and November meetings will serve as trial runs to gauge interest. The maximum capacity will be 120 people based on the room that the hotel is providing. USCBCMA will pay the room fee in exchange for the Boston ASHRAE Chapter advertising the event.
    • Additional Tours: Teri Shannon and Mike Gilroy are exploring the idea of holding additional tours throughout the year.  The first two potential tours are: Fraunhofer Building on Wednesday, October 8 and Harpoon Brewery Refrigeration Tour – April. Teri Shannon to send save the date
    • The 2013/2014 Boston Chapter budget, as prepared during the previous Budget Meeting, was reviewed. Bill Garvey made a motion to approve the budget (in terms of the projected total chapter expenses), Eric Edman seconded.  A majority vote approved the budget.
  • Moving forward, the Chapter Budget Sheet will be updated, to the extent possible, by the Treasurer, as transactions are made.  The intent will be to email the updated Chapter Budget Sheet monthly to the Officers and BOG along with, perhaps, the BOG Meeting Agenda.  This will allow us to simply recap chapter accounts during the Treasurer’s Report.

Evaluation Report
The chapter has received 15 responses from the members who attended the meeting.  ASHRAE Boston CTTC Committee Chair Paul Hanbury will be sending the evaluation forms to members a few days after the actual meeting date.

YEA 
Will Tang, YEA member, will be attending the YEA Leadership Weekend which will be held in Vancouver, Canada. ASHRAE Boston Chapter fully supports YEA members.  

Hall of Fame 
The Hall of Fame application has been sent out to all members. The due date is March 1, 2013.

Financial Report :
Bill Garvey reported the financial information for the CRC/Gala event that was held in August of 2012. 

Product and Roster Guide:
A conference call will be setup before the next meeting. Dan Denisi is part of the committee with Teri Shannon, Dan Diorio and Stacie Suh.

New Student Chapter:
Benjamin Franklin Institute of Technology has requested to be added as a new Student Chapter. BOG agreed with adding this school as the 6th local Student Chapter.  The Chapter President will follow-up with the school to start the process of getting the school onboard to be the next addition to Boston Chapter Student Chapter.

Reservation Software
The Chapter is actively looking into software that will help the Chapter with the reservation process.

Northeast Building & Facilities Management Show & Conference 2013
The 8th annual NEBFM show and conference will be held on June 12th and 13th at Boston Convention and Exhibition Center. The ASHRAE Boston chapter will have a booth at the show. Dan Denisi (Membership Committee Chair) and Teri Shannon (President Elect) will be at the booth.

Community Reach Out Team 
The focus of the current ASHRAE president is to reach out to the local communities. A team consisting of Jim Armstrong, Pat Duffy, Steve Nicholas and Stacie Suh will be working together to reach out to the community.

Monthly Meeting Payment method - PayPal

The process for confirming the deadline for meeting registrations: The PayPal link will be removed from the ASHRAE Boston Chapter website on Friday the week before the meeting date at 12 pm. The PayPal link will be put back on the website two weeks before the next meeting. 

Current BOG and Committees

Per Region 1, all committees should seek two other members to have total of three members involved in each committee.  

Program/Speaker Evaluation Forms

The evaluation form needs to be distributed to all attendees at each meeting. This information will help the Chapter assess each meeting and improve on future meetings. These forms can be either distributed at each meeting or sent via e-mail.

December Meeting

December meeting will be held on December 11, 2012 at Lantana’s in Randolph.  This meeting will be a joint meeting with ASPE with Dan Diorio as the meeting manager. 

January Meeting

January meeting will be held on January 8, 2013 at Embassy Suites in Waltham. The meeting is dedicated as a scholarship night. Teri Shannon is the meeting manager.  

March Meeting

March meeting will be held on March 6, 2013 at Embassy Suites in Waltham.  This meeting will be a joint meeting with AEE and it is a Student night and Research Promotion night.  Jim Armstrong is the meeting manager.

Monthly Meeting Payment method - PayPal

November Meeting

    • 2012 Region 1 CRC & Gala fund-raising campaign came to a close.  Discussed the current funding and monies that were raised.  
    • The full registration attendee will be receiving Patfolio.    
    • The tables provided by the hotel will utilized for the Hospitality Suite.
    • The committee is in the middle of an ad campaign for sponsorship of the Pre-Function gathering/cocktail.  All committee members are actively pursuing contractors, consultants, and vendors for purchase of a 10-seat table for the 100th Anniversary Gala.
    • Big support from Engineering and Contractor communities are required. They can support by taking out advertisements and purchasing gala tables.  
    • Each association will be getting invitation to the Gala event.
    • Due to the cost of the tv/video-game stations through the hotel, the CRC committee will pursue renting/buying as part of the overall furnishing of the Hospitality Suite. 
  • Nick Johnson - Boston Chapter will be sending $2,500.00 to Nick Johnson from BR+A Consulting Engineers. This money will go towards Nick’s wheel chair.

April 12, 2012

The following items were discussed at the brief Board of Governors meeting that took place during the New Product & Energy Show and subsequent e-mail correspondence:

  1. Research Promotion – The Boston Chapter has nearly reached its 2011/2012 Research Promotion fund-raising goal of $20,280. Less than $3,000 is needed to reach goal.
  2. Treasury Report – Bill Garvey, Chapter Treasurer, provided balances for all chapter accounts
  3. 2012 Region 1 CRC & Anniversary Gala – The committee is in the middle of an ad campaign for sponsorship of the Pre-Function gathering/cocktail. Additionally, all committee members are actively pursuing contractors, consultants, and vendors for purchase of a 10-seat table for the 100th Anniversary Gala.
  4. May Installation of 2012/2013 Officers - The incoming Boston Chapter President, Steve Nicholas, has narrowed the location for the event down to Jerry Remy’s Sports Bar and City Bar at the Westin Hotel. It was determined that a decision would need to be made by April 20.
  5. Boston Chapter Hall of Fame – Various items were discussed amongst the Board members regarding the process by which HOF candidates are nominated and inducted each year.

2012 Region 1 CRC & Anniversary Gala – Boston 
The 2012 Region 1 CRC & Gala fund-raising campaign has come to a close. The CRC committee is now focused on all of the various logistics of the event. Entertainment is being booked and activities are being planned. Amenities are planned for the hotel hospitality suite.

2012 New Product & Energy Show 
Jeff Schultz has 21 booths remaining to be sold out of the 104 available for the 2012 New Product & Energy Show. Dan Diorio will be looking for student members to help out at the show as well as exhibit their own school projects. During the show, there will also be (4) technical seminars that have pending PDH points available.

Boston Chapter Hall of Fame 
Nominations have come through for election into the Boston Chapter ASHRAE Hall of Fame. The Board of Governors has voted unanimously in favor to induct the nominated individual. Induction will take place at the October meeting.

Miscellaneous Items 
The following items were also discussed during the March BOG Meeting:

  • Research Promotion – Bill Garvey, Research Promotion Chair, provided an update as to where the Boston Chapter stands with 2011/2012 fund-raising. As of mid-March, the chapter has raised approximately ½ of the 2011/2012 goal.
  • Treasury Report – Bill Garvey, Chapter Treasurer, provided balances for all chapter accounts.
  • May Installation of 2012/2013 Officers - The incoming Boston Chapter President, Steve Nicholas, is looking for ideas/suggestions for locations for the Installation of Officers. Potential locations discussed during the BOG meeting included; Remy’s Sports Bar, Whisky Priest, and The Barking Crab.

February Meeting Logistics

The February meeting marked the 100th Anniversary of the Boston Chapter of ASHRAE – to the exact date. During the meeting prior to the Main Program, the BOG discussed and reviewed the special events that would take place that evening to commemorate the occasion (recognition of Past Presidents, chapter history look-back, photo session, and the champagne toast).

2012 Region 1 CRC & Anniversary Gala – Boston

Fund-raising has concluded for the 2012 Region 1 CRC and the 100th Anniversary Gala. The next planning committee meeting will be held shortly. Formal invitations will be sent from the Boston Chapter to local manufacturers representatives, contractors, and consultants by the end of March. Invitations will also be extended to local dignitaries and trade associations.

2012 New Product & Energy Show

Jeff Schultz has been selling local manufacturers representatives booths and parking lot spaces for large local manufacturers representatives product display vehicles. Approximate 1/3 of the product booths have been sold. It has been determined that there will only be (4) educational seminars for the 2012 event.

Miscellaneous Items

The following items were also discussed during the February BOG Meeting:

  • Based on consistent requests, the BOG is exploring methods to provide carpooling options for members that are looking for transportation to the monthly meetings in Waltham.
  • ASHRAE Society has unveiled a new branding which includes a completely redesigned logo. The Boston Chapter will begin the process of incorporating the new logo and brand once the BOG votes on the color scheme.

Review of December Meeting Minutes

Each Board of Governors meeting begins with a review and eventual vote to approve the previous month’s meeting minutes. Any items that required follow-up are updated and closed or are determined to be carried-forward once again. Revisited items included:

  • The 30% Research Promotion fund-raising goal was reached by the stipulated deadline.
  • Some chapter/newsletter advertising is still being accepted, but the Boston Chapter wants to provide the most value to the advertisers based on the newsletter and advertising schedule.
  • Roster & Product Guide: Updated line cards and product classification are due by January 30. The updated Roster & Product Guide will be published on approximately February 29.

Research Promotion

Research Promotion has raised and sent a total of $8,320 to Society to date. Fund-raising from the 2012 CRC and Gala, slated for Research Promotion, will be sent by March.

2012 Region 1 CRC & Anniversary Gala – Boston

Fund-raising continues for the 2012 Region 1 CRC and the 100th Anniversary Gala. The next planning committee meeting will be held shortly. Formal invitations will be sent from the Boston Chapter to local vendors, contractors, and consultants by the end of March.

2012 New Product & Energy Show

Jeff Schultz has been selling vendor booths and receiving checks. Coordination of the (8) technical seminars that will be a part of the New Product & Energy Show will begin shortly.

February Meeting

The February meeting will be held on Wednesday, February 8. This date marks the exact day of the Boston Chapter’s 100th Anniversary. The Chapter’s Board of Governors are planning events for the evening to commemorate the special occasion.

Boston Chapter Hall of Fame

The Boston Chapter will continue the new tradition of electing local ‘legends’ of the industry into the Boston Chapter ASHRAE Hall of Fame. An e-mail to the Chapter members will be sent inviting 2012 nominations. Elected members will be inducted in October. The process will fall under the responsibility of the President-Elect.

Review of November Meeting Minutes

Each Board of Governors meeting begins with a review and eventual vote to approve the previous month’s meeting minutes. Any items that required follow-up are updated and closed or are determined to be carried-forward once again. Revisited items included:

  • The Research Promotion deadline for each chapter to reach 30% of its fund-raising goal has been extended to December 31, 2011.
  • The Boston Chapter’s accounting software has been upgraded. Also, a new credit card scanner (to be used at the monthly meetings) has been ordered.
  • PayPal is not being pursued as a method for online meeting registration and payment

Research Promotion

Research Promotion Committee Chair, Bill Garvey, provided the Officers and Board of Governors with an update as to where the committee stands with reaching 30% of the fund-raising goal by December 31, 2011.

2012 Region 1 CRC & Anniversary Gala – Boston

Bill Garvey provided an update on the fund-raising that has taken place for the 2012 Region 1 CRC and the 100th Anniversary Gala. Profits from the fund-raising will go toward the cost to run the events, therefore, keeping the registration costs as low as possible. All sponsors will have their company name and sponsorship level displayed on the overhead screen at all monthly meetings.

Additional Miscellaneous Items Discussed

The following miscellaneous items were briefly discussed:

  • Treasurer’s Report - Bill Garvey, past President and current Treasurer, reviewed all Chapter account balances.
  • Monthly Meeting Payment Methods – The Boston Chapter will begin implementing an online payment option for the monthly meetings. Additionally, the credit card machine has been replaced with one that is linked to a tablet for quicker transactions at meeting check-in.
  • 2012 New Product & Energy Show – Jeff Schultz has already begun speaking with vendors and equipment representatives about reserving booths and truck/trailer spaces for the April show.
  • Roster & Product Guide – A conference call will be taking place to plan for the upcoming annual revision to the publication.
  • Boston College Stokes Hall Tours – The Student Activities Committee will be running construction tours (focused on MEP installations) of Stokes Hall on the Boston College Campus for the local Student Chapters.

Review of October Meeting Minutes

Each Board of Governors meeting begins with a review and eventual vote to approve the previous month’s meeting minutes. Any items that required follow-up are updated and closed or are determined to be carried-forward once again. Revisited items included:

  • The speaker for the January meeting was confirmed to be Michael Tillou of Cannon Design. Michael’s topic will be a review of the updated energy standard, ASHRAE 90.1-2010.
  • The softball game/tournament to benefit the Cheryl Rossini Scholarship Fund is going to be planned for September 2012.
  • The tour of Walsh Mechanical’s sheet metal shop is being tentatively scheduled for March 2012.

Research Promotion

Research Promotion Committee Chair, Bill Garvey, reminded the group that he would be presenting commemorative coins to the corporations donating over $150. The coins were presented during the November Main Program. Bill Garvey provided an update on his R & P ‘call campaign’. The first milestone deadline where a certain percentage of donations must be achieved is December 15.

2012 Region 1 CRC & Anniversary Gala – Boston

Darcy Carbone provided an update on the advertising campaign. She mentioned companies that have purchased ticket bundles to the Gala, New Product & Energy Show, the Golf Outing, etc.

Jeffery Schultz updated the Board of Governors on his booth sales to date for the New Product & Energy Show. His big sales push will begin in January. Jeff and Dan Diorio (Student Activities Chair) will work together to enhance the student booth competition for this year’s show.

2011 – 2012 Main Program Meeting Schedule

Each monthly meeting has a ‘Meeting Manager’. The Meeting Manager is a member of the Board of Governors that is responsible for certain meeting logistics (transportation for lecturers, projectors and presentation equipment, PDH points, etc.). All Meeting Managers have now been assigned. The Distinguished Lecturer for the January meeting is close to being confirmed. Patrick Duffy is confirming the Drury Crawley will be the speaker for January.

October Meeting Logistics

Logistics for the October Main Program were confirmed. In addition to the main presentation by Howie Mckew, Patrick Duffy determined the order of all other announcements and presentations (Chapter Hall of Fame Awards, Student Night promotion, and scholarship winners).

2012 Region 1 CRC & Anniversary Gala – Boston

The 2012 Region 1 CRC which will be hosted by the Boston Chapter, continues to be a hot topic at all meetings. Darcy Carbone will be sending out Save the Date notifications as well as sponsorship forms. There will be various levels of sponsorship that will include the ability to bundle events (Gala, New Product & Energy Show, Golf Outing, etc.). The goal is to keep the registration fees affordable for incoming Region 1 chapters.

The Boston Chapter BOG will be launching an advertising campaign to sell tickets to the Anniversary Gala. The Chapter has committed to selling 700 seats to the event. The push will include contacting local engineering firms, contractors, vendors, etc. to purchase tables for the event. Contact lists will be divided amongst the BOG members.

The following miscellaneous items were briefly discussed:

  • Treasurer’s Report - Bill Garvey, past President and current Treasurer, reviewed the financial results from the 2011 Region 1 CRC in New York City and all other Chapter account balances.
  • Roster & Product Guide - Teri Shannon suggested that a reminder e-mail be sent out by January 1, 2012, informing that changes to existing line cards will be due by February 1, 2012.
